What Is a UTM Link?
A UTM link is a normal URL with tracking parameters added to the end. Analytics tools like Google Analytics 4 read these parameters and tell you exactly where each visit came from — which platform, which campaign, even which button.
A UTM link has two parts:
https://share.formware.io/your-form?utm_source=instagram&utm_medium=bio
- The base URL — the page or form you’re promoting
- The parameters — everything after the
?, defining where the visit came from
The 5 UTM Parameters Explained
| Parameter | What it tells you | Required? | Example values |
|---|---|---|---|
utm_source | Which site or app sent the traffic | Yes | facebook, instagram, newsletter, whatsapp |
utm_medium | The marketing channel type | Yes | cpc, email, social, referral, print |
utm_campaign | Which specific campaign or promotion | Yes | spring_sale, product_launch, june_newsletter |
utm_term | The paid keyword (mainly manual ad tagging) | No | wedding+photographer |
utm_content | Which creative, placement, or link variant | No | header_button, story_a, video_b |
Only the first three matter for most campaigns. Skip utm_term if you run Google Ads — auto-tagging (gclid) already handles keyword tracking there. Use utm_content whenever you have more than one link to the same destination in a campaign, so you can tell which one people actually clicked.
How to Use This UTM Builder
- Paste your URL — your form link, landing page, or product page.
- Fill in the campaign details — source, medium, and campaign name at minimum.
- Click Generate — the tool formats and URL-encodes everything correctly.
- Copy and share — email, social bios, ads, WhatsApp, print QR codes.
- Read the results in Google Analytics: Reports → Acquisition → Traffic acquisition, using the Session source / medium and Session campaign dimensions.
Building one manually? The format is
base-url?utm_source=X&utm_medium=Y&utm_campaign=Z. The first parameter gets the?, all others join with&, avoid spaces (or encode them as%20), and keep everything lowercase. That last rule matters more than people think.
UTM Naming Conventions That Save Your Reports
UTM data is only as good as your discipline. Two people typing Facebook and facebook will create two separate rows in GA4 — parameters are treated as case-sensitive. Fix it with these rules:
- All lowercase, always.
spring_sale, neverSpring Sale. - Underscores, not spaces. Spaces break URLs unless encoded.
- One source per platform. Decide now:
instagramis alwaysinstagram— notIG, notInstagram. - Name campaigns by date or theme, not vibes.
promo_junebeatsnew_promo_final_v2. - Keep a naming spreadsheet. One tab listing your standard sources and mediums; anyone building a link copies from it.
Recommended utm_medium starter set: cpc (paid ads), email (newsletters), social (organic posts), referral (partners), message (WhatsApp/SMS), print (QR codes and flyers).
Channel Recipes
Copy-paste patterns for the most common placements — each pointing at a form so every click lands somewhere you can measure:
| Channel | Example UTM link |
|---|---|
| Email newsletter | ...?utm_source=mailchimp&utm_medium=email&utm_campaign=june_newsletter |
| Instagram bio | ...?utm_source=instagram&utm_medium=bio&utm_campaign=evergreen |
| WhatsApp broadcast | ...?utm_source=whatsapp&utm_medium=message&utm_campaign=cake_promo |
| Facebook / Meta ad | ...?utm_source=facebook&utm_medium=cpc&utm_campaign=summer_sale&utm_content=video_a |
| Printed flyer / QR code | ...?utm_source=flyer&utm_medium=print&utm_campaign=grand_opening |
| Partner newsletter | ...?utm_source=partnername&utm_medium=referral&utm_campaign=co_marketing |
Two channel-specific tips:
- WhatsApp and Instagram links open in the in-app browser, and UTM parameters carry through fine — but test one link per platform before scaling. Building WhatsApp links is faster with the free WhatsApp link generator; add your UTM parameters on top of the result.
- QR codes freeze your URL. A printed QR code encodes the link exactly as generated — UTM parameters included, and impossible to change later. Tag it before you generate the code with the form QR code tool.
Tracking Form Submissions, Not Just Clicks
Here’s the gap most marketers hit: GA4 shows you clicks, not leads. It can tell you a campaign sent 200 sessions to your form — but not which of those visitors actually submitted, or which campaign your 14 real leads came from.
Hidden fields close that gap. Formware forms can capture any URL parameter — including UTM parameters — and store the values with each individual submission:
- Add hidden fields to your form (e.g.,
source, medium, campaign). - Share the form with your UTM link:
?utm_source=facebook&utm_medium=cpc&utm_campaign=summer_sale - Every response in your results table arrives stamped with its own attribution.
The payoff:
- Lead-level attribution — know exactly which campaign produced each submission, not just traffic volume.
- Cleaner segmentation — filter responses by source without touching analytics.
- Channel coverage GA can’t see — WhatsApp messages, QR scans, partner links.
- Personalization — the same hidden-field mechanism can pre-fill known details like names, improving completion rates.

Best Practices
- Never UTM-tag links inside your own site. UTMs are for external traffic. Tagged internal links corrupt your source/medium reporting and can create duplicate URLs for search engines.
- One link per placement. Two links in the same newsletter to the same form? Differentiate them with
utm_content(header_buttonvsfooter_link) — or their clicks blur together. - Always tag campaign form links. Every shared form in an outreach, ad, or promo campaign should carry parameters. It costs seconds and saves the campaign post-mortem.
- Pair traffic data with submission data. GA tells you which campaign brought visitors; your form responses tell you which campaign brought customers. Compare both before judging a channel.
Common Use Cases
- Lead generation campaigns — compare channels by submissions, and route every lead’s source into your CRM via webhooks.
- Newsletter performance — measure which issues and links drive signups.
- A/B testing creatives — split
utm_contentacross ad variants and see which wins on leads, not just clicks. - Influencer and partner traffic — give each partner a uniquely tagged link so credit is never a guess.
- Print and offline campaigns — track flyers, packaging, and event QR codes like digital channels.
- WhatsApp marketing — tag every broadcast and status link. For the full funnel, see WhatsApp lead capture.

Frequently Asked Questions
What are UTM parameters?
Tags added to the end of a URL that tell analytics tools where a visit came from. The three required ones are utm_source (where), utm_medium (channel type), and utm_campaign (which promotion).
Do I need all five UTM parameters?
No. Source, medium, and campaign cover most tracking. Add utm_content when one campaign has multiple links, and utm_term only for manually tagged paid keywords.
Are UTM parameters case-sensitive?
Yes — treat them as case-sensitive. Facebook and facebook report as two different sources in GA4. The fix is simple: lowercase everything, always.
Do UTM parameters hurt SEO?
No. Parameters don’t affect rankings, and search engines handle tagged URLs through canonical tags. Just don’t use UTM links in your own site navigation or internal links — that’s an analytics hygiene issue, not an SEO one.
Where do I see UTM data in Google Analytics 4?
Reports → Acquisition → Traffic acquisition. Switch the dimension to Session source / medium or Session campaign to see your tagged links broken out.
Do UTM links work on WhatsApp and Instagram?
Yes. Links open in the in-app browser and the parameters carry through. Test one link per platform first, as some in-app browsers handle redirects differently.
Do URL shorteners preserve UTM parameters?
Yes. A short link just wraps the full destination URL — including its parameters — and passes them through on redirect. You can safely shorten UTM links for cleaner-looking bios and messages.
What's the difference between UTM parameters and hidden fields?
UTM parameters are read by analytics tools and measure traffic. Hidden fields are read by your form and stored with each submission. With Formware you can combine them: capture UTM values as hidden fields so every response carries its own attribution.
